Hire Terms and Conditions
On Collection
You may collect the motorhome from between 3pm – 5pm.
The hirer will be asked to do a walk around inspection of the vehicle and sign a condition acceptance statement. This should already have a record of any existing dents and damage. Davan allow 1 hour for the handover and instructions on the use of the vehicle. Hirers are allowed to leave their car free of charge on Davan premises whilst using the hire Motorhome. Keys must be left with Davan in case it is needed to be moved. While on Davan premises it is still the hirers responsibility to insure their own vehicle for loss or damage and Davan in no way accepts any liability for vehicles left here by their owners.
On Drop Off
The motorhome must be returned by 11am. The driver is only insured for the period of the hire. If the motorhome is not returned on time and is driven, the driver will be uninsured. Charges will be deducted from the deposit for late return, at £50 per hour for the first 3 hours, then balance of deposit thereafter. Deposits are refunded once a member of staff has checked the vehicle, if a member of staff is not available at the time of drop off deposits will be refunded within 7 working days. Davan will inspect the Motorhome, if any damage has occurred that requires an insurance claim, a claim form must be completed and the excess of £400 deducted from deposit. Any minor repairs that do not exceed the excess amount and any extra extra cleaning will also be deducted from deposit.
Cleaning Policy
Davan allows 1-2 hours cleaning preparation time between hires, should a vehicle be returned in a state that requires extra or specialised cleaning we reserve the right to charge extra hours at £50.00 per hour estimated to clean, up o a maximum of you full deposit. An extra charge of £100 (re cost of a new cassette toilet waste tank) will be made if the toilet is not empty and reasonably clean.
Breakdown Policy
In the event of breakdown or accident the breakdown cover is at the use of the hirer. You may allow repairs to be carried out up to the value of £100.00. We will reimburse you when you return with the receipt. In the event of failure of a component contact us we will endeavour to replace or repair the fault.
We are not responsible for hotel or any other expenses subsequent to breakdown. Davan Hire is not liable for any third party claims or damages in connection with any accident or breakdown.
Smoking Policy
Smoking is prohibited by law in hire motorhomes.
Pets
We allow pets in one of our motorhomes, The 656 Carioca 2006, without a charge. The pet must not be allowed on the seats unless covered and any damage caused will be chargeable.

Fuel Policy
The fuel tank is provided full. It is asked that it is returned full. The tank holds approximatly 80 litres, so a charge of £22 will be deducted from the security deposit per quarter mark on the gauge for any shortage.
Hire before you buy.
If you buy a motorhome for £10,000+ within 3-months of your hire, Davan will give you your hire fee up to a maximum of £600.00 back against the purchase price. So you get the benefit of hiring first at no extra cost !
Terms and Conditions
1. BOOKING PROCEDURES
A. At the time of booking, a deposit of two hundred and fifty pounds (£250) is required. This amount will be deducted from the total hire charge. In the event of cancellation this deposit is non-refundable.
B. Bookings can be made by telephone or email, but deposit must be made on the day of booking. A booking confirmation and invoice will be sent to the hirer reflecting balances paid and balances due.
C. The full balance of hire fee must be paid 4 weeks prior to your collection date. Failure to do this may result in the loss of your deposit and allocation of the hire vehicle to another customer.
D. The insurance security deposit of £600 for 25 – 70 year olds or £750 for 21 – 25 year old, must be paid with cleared funds, i.e. debit or credit card by or on the hire date.
E. All cheques to be made payable to “Davan Caravans Ltd”. Cheques can only be accepted for payment if provided 10 working days prior to the hire date. Cheques cannot be accepted on the day of hire.
F. The Company reserves the right to rent the motorhome described on the website, via phone of viewed in person, or any substitute motorhome subject to all the terms and conditions of this agreement.
G. Please note there is a 2% surcharge on credit card transactions.
2. INSURANCE
A. Included in the price of hire is full comprehensive insurance, covering the motorhome and its equipment only. Equipment excludes, child seats, bike rack and any other optional equipment.
B. The insurance is only valid for the period of hire. The period of hire is from the collection date and time to the specified return date and time. Any late return or driving by non-named drivers would invalidate the insurance and constitute a traffic offence under the Road Traffic Act in which the driver may be liable to prosecution. The hirer and any driver will also be personally liable for any damage to the motorhome, any personal injuries, third party property damage, third party injuries and other related liabilities after the insurance expiry date and time.
C. It is the driver’s responsibility to provide full information on any driving convictions or health restrictions. Please note there may be insurance surcharges dependant on any of the above being applicable. Please also note that the insurance policy will be invalidated if the hirer or any driver misrepresents of withholds driving conviction or health restriction information. Should an insurance policy become invalidated for any reason, Davan Caravans Ltd (also referred to as “The Company” in this agreement) will hold the hirer responsible for all fines, losses, damages and other costs.
D. The insurance security deposit of £600/£750 is held against any and all damage to the motorhome, this covers the insurance excess of £400 and possible extra cleaning costs. Minor damage of less than £400 can be deducted without necessity for an insurance claim to be made.
E. Insurance and breakdown cover for use in other EU Contries is supplied at an extra cost of £85 per week. The vehicle must not be taken out of the UK without it.
F. The hirer shall be responsible for any and all of the Company’s uninsured losses, which may arise as a result of the hire.
G. The insurance security deposit will be returned to the hirer within 7 working days after the end of the hire period providing that hirer(s) return the motorhome under the following conditions:
- Clean
- Undamaged
- With all tyres, tools, accessories and equipment in the same condition as when received
- Returned to the place and on the date and time specified, or sooner if demanded by The Company
- Returned having used motorhome in a reasonable manner. (see Motorhome use)
CHARGES WHICH MAY BE DEDUCTED FROM THE INSURANCE SECURITY DEPOSIT:
- Fridge/Freezer not clean – £50
- Cooker hob and grill not clean – £50
- Shower and toilet compartment not clean – £50
- Toilet cassette not cleaned and emptied – £100. Specialist cleaning if toilet left to overflow – £100
- Smoking in motorhome – see 7
- LCD TV damage – £150
- Damage of tyres – price of a new tyre, refit and any other associated costs
- Windscreen damage – cost of replacement
- Returning the motorhome later than the specified time – see 10a
PLEASE NOTE:
- The motorhome must be returned with a full tank of fuel – charges apply otherwise – see 4a
- The hirer is liable for all overhead damage to the vehicle resulting from any accident. The maximum height and length of the motorhome is clearly stated.
- All accidents related to tyres including punctures are the hirer’s responsibility
- Responsibility for damage to the load in the van while the van is out on hire lies with the hirer/driver
H. Personal possessions are not covered. The Company shall not be liable for loss or damage to any property left, stored or transported by hirer or any other person in motorhome wither before or after return to Davan Caravans Ltd. Hirer hereby agrees to hold The Company harmless from and indemnify Davan Caravans Ltd against all claims based upon or arising out of such loss of damage. Hirers are strongly advised to take out holiday insurance, to cover contents and possible loss of deposit in case of cancellation.
3. DRIVER
A. Must have held a full licence for a minimum of 2 years
B. Must be between the ages of 21 – 70
C. All drivers must be present at time of collection and produce a photo driving licence. In case of a UK licence, both the card and the counterpart paper licence must be produced and photographic identification verified. An additional photo will be taken at this time for insurance purposes and a rental application form must be completed by all drivers.
D. Visitors from abroad must produce a valid unendorsed domestic driving licence or international driving licence as well as a passport.
E. The insurance supplied with the motorhome includes 1 extra driver, other extra drivers can be requested.
F. In addition to the driver’s licence requirements, one other form of identity, such as a utility bill or bank building society statement dated within the last three months, is required.
G. Licence offences must meet the driver eligibility requirements of the insurance company.
H. Only names drivers that have met the insurance company eligibility requirements are permitted to drive the motorhome
I. The hirer/named driver shall be liable for all costs and expenses incurred for speeding, parking fines, congestion charges. This includes any other offences committed against the Road Traffic Act or traffic regulations and indemnifies the Company from any liability.
4. FUEL, GAS AND DAILY MOTORHOME MAINTENANCE
A. The motorhome will be provided with a full tank of fuel when it is collected. The motorhome must be returned with a full tank of fuel. If the motorhome is not returned with a full tank of fuel, a charge for the amount in pounds (£) required to bring the tank to full will be made to the hirer, £22 per quarter tank.
B. Two (2) full gas cylinders will be supplied with the motorhome.
C. The responsibility of checking oil/water levels on a daily basis in the engine and other necessary motorhome components, such as checking tyre pressure, are the responsibility of the hirer while on hire.
5. BREAKDOWNS AND ACCIDENTS
A. Seatbelts must be worn by all passengers, this is the hirer’s responsibility.
B. The company will not be responsible for any third party damages or claims in connection with or as a consequence to any accident or breakdown.
C. Should a breakdown or accident occur, the Company will not be held responsible for any hotel, replacement vehicle or consequential expenses connected to breakdowns or accidents.
D. Great effort is made to ensure the hire motorhome is in a roadworthy and safe condition before hire commencement. The Company shall not be liable for any consequences arising from any defects or mechanical failure of the motorhome although all reasonable precautions have been taken to prevent such happenings.
BREAKDOWNS – Specifics
E. 24hr breakdown coverage under the RAC is provided. The RAC phone number is located on the motorhome windscreen.
F. The hirer may authorise repairs and replacement up to one hundred pounds (£100) and will be reimbursed on supply of a valid receipt.
G. The hirer must obtain permission for the Company for repair and replacement costs above one hundred pounds (£100).
H. European breakdown cover must be arranged along with insurance prior to use, outside UK.
ACCIDENT – Specifics
I. In the event of an accident:
1. Call the Police
2. Do NOT admit guilt/fault or liability
3. Fill out an Accident Report
4. Notify Davan Caravans Ltd immediately – 01934 524242 or 01934 510606
J. Should the motorhome be involved in an accident, however small, the details must be filled out on an Accident Report from contained in the document wallet.
K. A diagram should be drawn. There is space on the back of the Accident Report for a diagram to be drawn.
L. Hirer participates as an insured under a comprehensive motorhome insurance policy. Hirer agrees further to protect the interest of Davan Caravans Ltd and the insurance company in the event of accident during the hire term by:
1. Notifying the police immediately if there is property damage, if people are injured and in order to determine fault for insurance purposes.
2. Not admitting guilt or liability.
3. Obtain names and address of parties involved and witnesses.
4. Not abandoning the motorhome without adequate provisions for safely guarding and securing same.
5. Notifying Davan Caravans Ltd (01934 524242 or 01934 510606) immediately, including holidays, of any loss or damage occurring to motorhome, and of any fault. Please indicate if the motorhome is not roadworthy or is liable to cause danger to any person or property.
M. The motorhome should not be used until damage has been repaired, corrected and fault determined.
6. ANIMALS
We love animals, however, all animals are strictly prohibited in the 2 new 2010 motorhomes. We offer pet usage, free of charge in our 2006 Carioca 656. All seats must be covered and extra cleaning or damage paid for.
7. SMOKING
Smoking is strictly prohibited inside the motorhome. Any infringement of this rule will incur a minimum charge of £100
8. MOTORHOME USE
A. The Motorhome shall not be used:
1. For the carriage of passengers for hires for reward
2. Knowingly for any unlawful purpose
3. To propel or tow any other motorhome or trailer
4. For racing, pace making, reliability trials, speed testing or driver tuition
5. To carry a greater number of passengers and/or more baggage than recommended by the motorhome manufacturer
6. By any person who has given a fictitious or false name
7. By any person other than the hirer who signed the rental agreement or who have been named as a driver and approved by Davan Caravans Ltd, or by a motor motorhome repairer in the event of an accident or breakdown
8. By any person who is under the influence of alcohol or drugs
9. For travel to rock festivals or unauthorised sports events – unless clearly stated and agreed by Davan Caravans Ltd at the time of booking (special terms may be imposed for certain events).
B. Motorhome Keys and Control
1. The hirer is required to keep the motorhome under their control throughout the hire period
2. The motorhome must be locked at all times when unattended
3. The keys for the motorhome must be kept safe at all times. All costs to replace keys will be the responsibility of the hirer. Duplication of motorhome keys is expressly prohibited
4. Replacement ignition key cost £200. Door key cost £30
9. COLLECTION AND RETURN
A. The collection of the motorhome must be made between 3pm and 5pm on Friday, Saturday. The motorhome must be returned between 9am and 11 am on Friday. Motorhomes will not be available for collection or return at any other time. Failure to comply with the return time will result in hirer being surcharged at the rate of fifty pounds (£50) per hour, or any part thereof, for the first 3 hours and the balance of the deposit thereafter, together with any additional costs incurred by the Company
B. There is no refund for early return
C. The hirer acknowledges delivery of the motorhome and the contents free from any defect or damage and complete other than as specified by the Company. The hirer is advised to check the motorhome thoroughly before leaving the Company’s premises. Upon return the condition of the motorhome will be checked for damage, cleanliness, fuel levels, tyres, any hires options, conditions that affect the security insurance deposit and other general conditions.
The motorhome must be returned with following items completed:
- Fuel tank on full
- Waste tanks emptied
10. CANCELLATIONS
A. All cancellations must be submitted in writing. It is strongly advised that hirers take out their own insurance against any unavoidable cancellation
B. The following fees apply in the event of cancellation prior to the hire date:
- Between booking date and 4 weeks prior to hire – Loss of deposit
- 2 – 4 weeks before start date – Loss of 60% of hire fee
- 2 weeks or less before start date – Loss of 100% of hire fee
11. WEATHER CONDITIONS
Davan Caravans Ltd cannot be held responsible in the event of any damage or inconvenience caused by inclement weather
12. CUSTOMER VEHICLE(S) STORED AT OWN RISK
Parking is provided free to the hirer for the duration of the hire period at the vehicle owner’s risk. Keys must be left with Davan incase of emergency or necessity to move it
13. AVAILABILITY
All effort is made to ensure that the reserved motorhome, or a suitable replacement, is available. However, if circumstances beyond our control prevent the Company from honouring a reservation, Davan Caravans Ltd will in no way be held responsible and all payments which have been made to the Company will be refunded
14. CHANGES IN TERMS AND CONDITIONS
Davan Caravans Ltd reserves the right to vary the rates and conditions at any time. The Company also reserves the right to cancel or refuse hire to any person without prior warning or explanation. Additions to or alterations of the terms and conditions of this agreement shall be null and void unless agreed upon in writing by all concerned parties.
